Information for New Graduate Employees

Orientation and Meetings

We look forward to meeting you soon. Your contract begins September 16 and you must be available for meetings that your GE area head may schedule on or after that date.  For more information, please check with your GE area head and consult the Week of Welcome schedule.

All new GEs are required to complete the GE Mandatory Training, which will administered online by the UO Division of Graduate Studies. Learn more about the required GE Mandatory Training on the Division of Graduate Studies’ website.

The GE Day of Teaching will take place in person on September 24. This opportunity offers new GEs access to high-quality teacher training. GEs in Music Theory and Musicology are highly recommended to attend the GE Day of Teaching, particularly the “Leading Discussion Sections” portion of the day. View the event schedule, here.  

International GEs

Payroll

In order for your first paycheck to arrive on time (September 30), several forms must be processed. (Please note that your first paycheck will be for only half a month, as will your last paycheck on June 30.)

Dana Gorman will assist you with completing all the necessary payroll paperwork. She will be reaching out to each of you via email by the end of July to initiate the payroll paperwork. We strongly recommend that you complete your payroll paperwork before WOW. If your payroll paperwork is not completed before September 8, your first paycheck may be delayed.

Be sure to make sure you have claimed your UO Duck ID if you have not already done so. This will need to be done to get ensure we can submit your payroll paperwork.

You will need to bring documents that establish your identity and employment authorization when you come to do your payroll paperwork.

US Citizens and US Resident Aliens

  • Provide one document from List A OR one document from List B AND List C
     

List A documents include:

List B and List C documents include:

  • US passport or passport card (unexpired)
  • Permanent Resident Card (Form I-551)

List B

  • US Driver’s license or ID card
  • School ID with your photograph
  • US Military card
  • Native American Tribal document

List C

  • Social Security card (with no restrictions)
  • Birth Certificate
  • Native American Tribal document

NOTE: If you have lost your Social Security card:

  • You can get a replacement card. Go to your local Social Security Administration office or to the Eugene office (2504 Oakmont Way, Eugene, OR 97401). They will provide you with a letter stating a new card is on order.
  • This letter is valid for 30 days and will act as a temporary document establishing your employment authorization until you get your new Social Security card. When you get your replacement card you will need to bring it in to complete your paperwork.

International Students

  • Your Social Security card/number
    • If you do not have a Social Security card, you will need to request one. Go to the following link https://isss.uoregon.edu/social-security-number-f-1. You and your on-campus employer will need to fill out the Social Security Verification Form found at the link above. Complete the “Student” box. Bring the form to the SOMD Accounting Office so that one of our accountants can complete the “Employer” box. You will then need to take the form to International Student & Scholar Services in the Division of Global Engagement (Oregon Hall, 3rd floor) for signature and to activate your F-1 SEVIS record. After these two steps you will need to go to the Social Security Office to apply for your card. The nearest office in Eugene is at 2504 Oakmont Way, Eugene, OR (behind Albertson’s on Coburg Road).
  • Your valid passport
  • I-94 Form – Available online at https://i94.cbp.dhs.gov/I94/#/home
  • Most recent I-20 Form (proof of your F-1 visa status) or the DS-2019 Form (proof of your J-1 visa status)

REMINDER: If your payroll paperwork is not completed before September 8, your first paycheck may be delayed.
